Prorated Leave Balance (under Leave Settings) is a feature that users can use in both leave policies and length of service accruals, where the number of leaves is divided (prorated) based on the time of service. This feature allows Admin to create a prorate setting and define the percentages (%) used in the prorate calculations when applying that particular setting. In August, we enhanced the function by adding a new option: ‘Set the Leave Balance’. This function is to provide users with alternatives for their prorate basis or method. The details of the option are as follows: i. ‘Semi Monthly’ Semi-Monthly was the only prorate basis available before this enhancement. A prorate percentage is assigned for the first and second half of each calendar month. The percentages can be either set uniformly or customised by the Admin. During prorate calculation, any effective date that falls within the same semi-monthly period will be multiplied with the same percentage (e.g., 1st to 15th Jan = 100%). ii. ‘Days’ (New) The system will calculate the prorated percentage with a standard formula based on 365 days per year. For example, to prorate leave allowance for a newly joined staff: Effective Date: 1st March Yearly allowance: 14 days Prorate: March 1 ,2021 up to December 31,2021 (306 days) Prorate percentage: (306/ 365) x 100% = 83.84% Prorated balance: 14 x 83.84% = 11.74 days Please refer to the images below for further details: a. In tandem with the enhancement for Prorated Leave Balance settings, we also improved the display of prorated balance information throughout the system. Specifically, a new “Prorated Balance” column has been added at User Leave Settings & Leave Application, as shown below: a. User Leave Settings - Added “Prorated Balance” Column at Balance Tab |
